Challenge

A utilities company with circa of 120 vehicles is used to service the various needs of the business. The data for these vehicles is captured on multiple systems. Some of the systems are - R2C (Fleet Service Maintenance & Repair system), Ctrack (Fleet GPS system), Jigsaw/Fuel Card systems (fuel purchase and usage), Assure (H&S system including reported accidents and incidents) and Oracle Financials was used for the Asset Management.

Different departments use information from these systems to report on performance, compliance, costs and utilisation, and have developed reports and processes specific to their needs. Commercial teams were also looking at similar contract performance information. Consistent reporting from a single place with trend analysis to provide better insights into its Fleet operations was a challenge.


Solution

A full end to end project delivery service, which encompassed understanding the underlying data structure of the various systems and create a centralised Data Hub for data integration, creation of a logical data model, auto refresh the datasets and finally dashboards for operational, contractual and financial departments. Dashboards detailed the following (but not limited to):

  • Costs to present most/least expensive vehicle, VOR times, garage, and repeat garage visits by vehicle.

  • Economic lifecycle analysis for each vehicle by manufacturer/type, by function.

  • Highlight key driver behaviour as non-compliance with driver checks, road traffic incidents/accidents (inc 3rd party. No shows at scheduled service and maintenance appointments, RYG reports from CTrack in terms of driving parameters and weighting.

  • Efficiencies around fuel savings, fleet optimisation and service costs.

  • Highlight data across systems and identify any duplication/errors/mismatches.


Outcome

  • Single authoritative data source and dashboard that is being referenced by many ‘users’ of Fleet information to quickly derive business insights.
  • Driver contract compliance and efficiency
